Start with the property and the people
- Give the full Coquitlam street address, postal code, floor and suite.
- Identify the person approving the work and the contact managing access.
- List private tenant spaces separately from common areas.
- Record property use, approximate cleanable area and the hours people are present.
Walk the route from entrance to workspace
- Note entrance mats, accessible glass, reception counters and waiting areas.
- Add meeting rooms, cleared work surfaces and shared staff kitchens.
- List washrooms, fixtures and the supplies you want included.
- For strata properties, include authorized lobbies, elevators, corridors and amenities.
Describe the work and its frequency
- Match each room with the tasks requested at each visit.
- List floor finishes and any surface-care instructions.
- Separate routine work from an initial clean or periodic treatment.
- Identify belongings, merchandise, vehicles and equipment that staff will manage.
Check the building arrangements
- State permitted hours, entry points and any sign-in requirement.
- Explain elevator or loading arrangements where relevant.
- Confirm access to water, supplies, storage and the agreed waste point.
- Share access credentials securely only after service arrangements are agreed.
Compare the proposal and agree the handover
Where private suites and shared rooms meet, start with the strata plan. The Province explains the property categories that help the authorized contact set a clear scope boundary.
- Review scope, visit frequency, supplies and price together.
- Keep additional tasks and exclusions visible in the written proposal.
- Set a contact and process for missed access, concerns or changes.
- Confirm the provider, start date and service agreement before work begins.
